🛠️ FabLab Volunteering – Organization of Volunteer Work

đź“… Scheduling Workshops

At the end of each month, the volunteer coordinator meets with the FabLab educators to set up the schedule of workshops and events for the upcoming month.
Based on this, a list of activities is created, and volunteers are assigned to specific workshops.


🤝 Volunteer Meetings

Every third (sometimes fourth) Thursday of the month, a volunteer meeting takes place.
During these meetings, current activities are discussed and support duties are assigned for workshops, open labs, potential events, or space organization within the FabLab.

Sign-ups are managed in a shared online table:

Each volunteer:

  • has access to the table and can sign up independently if not assigned during the meeting,

  • should sign up even if planning to only observe a workshop – this helps educators plan how many people will attend,

  • should remember that sometimes there may be too many volunteers, so signing up in the table is mandatory.


📆 Google Calendar for Volunteers

All workshops where volunteer help is needed are listed in the Google Calendar dedicated to FabLab volunteers:

Each volunteer:

  • receives access to the calendar via email,

  • should add this calendar to their personal Google account,

  • is responsible for regularly checking both the table and the calendar to know when and where to show up.


🎓 Additional Trainings

Additional trainings for volunteers are organized whenever possible.
Dates are arranged collectively – the coordinator always asks volunteers on Discord in advance to find the most suitable time.

Training information:

  • appears in the Google Calendar,

  • is not added to the sign-up table.


đź§ľ Volunteer Work Card

After each workshop or any other activity for FabLab (e.g., cleaning, organizing the space, helping with administration, building furniture, etc.), each volunteer should fill in their individual work card.

Each volunteer:

  • has their own file with instructions on how to complete the card,

  • can ask the coordinator for help if anything is unclear.

The work card should include:

  • assistance during regular and open workshops,

  • participation in volunteer meetings,

  • attendance in trainings,

  • other work done for FabLab.

📊 Monthly Summary

At the next volunteer meeting, the coordinator and the team review how many hours each volunteer has completed in the previous month, based on the data from the work cards.
